This article is dedicated to the enhancements made to the Automation Manager. To view our detailed article on how the Automation engine functions, click here. To find the Automation Manager with our updated UI, you'll navigate to the 'Manage' Tab--->Automation Manager.
With the INBOX25 Automation Manager 2.0, users will now have greater control of reigning in multiple workflows under an umbrella. You'll notice a small change, in that the 'Add Automated Campaign' has been replaced with a 'Create Track' button (highlighted in green), conveniently located at the top of the Automation Manager, the first thing you'll see as the Manager loads!
1. Visual Aid
Right from the start, users will be met with a graph which details how your automated campaigns as a whole are being received. You'll be able to toggle a time interval (i.e 2015, 2014, Q3 2015, etc) to gain better insight as how your automated campaigns were performing over 'x' time. The graph will provide analytics for Targets enrolled vs touched by your Campaigns, and combines Emails Sent via Automated Campaigns as well. You can then E-mail this graph to a sending address of your choosing to share around the office or print out and bring to a team-meeting!
2. Filtering
With the Automation Manager 2.0, you'll be able to create and search various filters to refine the chart of Automated Campaigns below the filter bars (highlighted in blue). You'll be able to filter and combine based on:
- Conditions within Automated Campaigns
- Actions within Automated Campaigns
- Search by Name
- Search by Category
Once you determine the filter parameters, clicking the 'Go' icon will update the chart with the information, showing only the relevant Automated Campaigns that match your criteria. No longer will you need to search through pages and pages of Automated Campaigns to find the one workflow you're looking to edit.
3. Organization
INBOX25 has gone a step further with organizing Automated Campaigns by allowing users to loop multiple Campaigns into Categories. Creating a Category is as simple as clicking the 'Organize Tracks' button at the top of the Automation Manager. Clicking this option will remove the Gear icon next to each Automated Campaign and replace it with 'Select' buttons. There will also be a selection bar at the bottom of the Automation Manager that will appear. This bar will enable users to add selections to an existing Category or be prompted to create a new one. Users will then begin selecting Automated Campaigns that you'd like to loop into a Category. If you mistakenly clicked on an Automated Campaign, no problem, once you click 'Select', an 'Undo' button will then appear, so click 'Undo' if you want to de-select the Automated Campaign...it's that easy!
Once you've made all of your selections, you then have the option of adding the Campaigns to an existing Category. If this is your first time using the new Manager (as it most certainly will be), then you will want to Create a new Category by labeling the Category in the text box '- Enter a New Category-'. Lastly, click 'Done, Save Changes!' and you have now created a Category of Automated Campaigns. Want to find these workflows later? Simply use the filters to search by Category!
Workflow Enhancements
V5 automation changes have been made on two actions highlighted below.
Add/Remove Tag
Users can now enjoy the option of adding OR removing a tag from a records profile within an automated campaign. This will provide greater flexibility to remove records/plug records into specific Automated Campaigns, dependent on the tag being present/absent. This will also bring more functionality in-house for our INBOX25 users who do not utilize a CRM.
Using the 'Remove Tag' operator will open up a text box adjacent for users to start inputting a specific tag to be removed. As you start to fill in the tag, our global search feature will populate a dropdown with tags that match your input for easy selection.
Add to/Remove from Target List
Adding and removing records to a SugarCRM Target List works similarly to the Add/Remove Tag feature. Users will now have the option of automatically removing records from a Target List directly through an automated campaign. Records will NOT be removed from the CRM list or from the CRM as a whole, just removed from the designated Target List. This update will occur in real-time, so after the action fires off, the record will then be removed from the Target List inside of SugarCRM.
Timeline View
With the Timeline Report, you can now see not only when a tag was added, but when a Tag is removed via Automation. Confused if a lead should or should not have a specific tag, consult the Timeline report!
