The INBOX25 approach to integrating SugarCRM/SuiteCRM Target Lists is to auto-sync and maintain the relationship between the Target record and the Target List. This approach is unique compared to our competitors and ensures that the same Target record only counts against your active target limit one time, no matter how many Target Lists they are associated with.
Since INBOX25 does not force the creation of a new proprietary marketing list for each unique Target List, we operate solely on segment framework for each Target List. These segments are replicated from your Target List and are maintained by SymSync. The Target List members are not considered unique target records in INBOX25, but instead the members are related to Active Target that already exists in your INBOX25 database. This relationship is linked using the CRM’s unique Bean ID for each record.
Our Target List packages are based on the total number of Target Lists that will be segmented within your INBOX25 database and how many members we will be managing. Remember, a Target List member is not an Active Target and does not count against your Pro Marketer plan. For example, firstname.lastname@example.org can exist in 20 Target Lists, but will only count as an Active Target one time.
- Slower Sync cycles for a single Target List
- SymSync updates delayed by volume of pending API requests.
- Redundant processing and API requests to CRM that can slow down the INBOX25 experience.
- Excess API requests to the CRM that can delay other API traffic or web traffic (severe cases).
Solution #1: Target List Segments
Our latest release was designed to maximize performance and ensure that marketers have faster access to critical Target List updates from their CRM. We have accomplished this mission by limiting the total number of Target Lists we will sync, to only those created as Segments.
Previously, SymSync would maintain every Target List contained in the CRM instance, including updates. This created a great deal of processing and transaction time between INBOX25 and the CRM. In many cases this was useless processing as the Target Lists may not have even been relevant to the users marketing efforts.
Moving forward, Administrators can now select which Target Lists should be maintained by SymSync by selecting to create those Target Lists as Segments.
The current limit for Target List Segments is now 20.
If you require additional Segments on an ongoing basis, please contact our team for assistance.
Solution #2: Target List Members
In addition to the inherent processing times for large volumes of Target Lists, some users have also suffered long transactions and sync cycles due to the sheer volume of Target List Members. In many cases, we believe the Target List Segments solution will help alleviate the bulk of the issues, but our goal with this change is to also help instill better data practices.
In terms of best practices, a Target List should represent an on-going marketing campaign or a Segment of your data that can be utilized regularly. However, we routinely encounter Target Lists be compiled for single one-time email blasts, which are then abandoned after use. This can create a large volume of Target List Members that are technically the same individual, but they become replicated over multiple disposable Target Lists. This approach runs contrary to what INBOX25 considers best practices, which would be a data strategy that leverages a single database with multiple Segments to be utilized for Targeting.
Target List Members will now be limited to 120% of your Active Target plan limit.
If you require additional Target List Members on an ongoing basis, please contact our team for assistance.
By leveraging INBOX25 Segmentation, you can build intelligent and reusable Segments based on CRM data objects. INBOX25 Segments also will not count against your Target List Member limitations. Segments that are built from CRM database objects (i.e. Leads, Contacts, etc.) will also still sync to the CRM (i.e. Campaign Log) just as your Target List Segments currently do.
- SymSync will only update and maintain Target Lists that are setup as Segments
- Automation Conditions will only be applicable to Target Lists that are setup as Segments
- If you exceed your Target List Segment limit, you will not be able to create new Segments until this level is reduced.
- If you exceed your Target List Member limit, additional members will not be updated until your level is reduced.
- Enhanced plans will be made available for users that cannot fully migrate to INBOX25 Segments and require more Target List Segments and/or Target List Members. Contact us.
